Dentisterie Hanok

Seven clinics on the new sterilization protocols, with dated proof for every person.

How Groupe Dentisterie Hanok trained its staff on the new ODQ and OHDQ infection-control and reprocessing guidelines across seven Québec clinics — without a coordinator chasing anyone — and what that is worth in time and money.

Who

Groupe Dentisterie Hanok runs seven clinics across Québec — Repentigny, Lavaltrie, Granby, Sainte-Julienne, Pointe-aux-Trembles, St-Charles-Borromée and Sainte-Foy — with about a hundred active staff: hygienists, dental assistants, front desk, management. Its main clinic alone has more than thirty people on the training roster.

Before

Training lived in email and in a coordinator’s head. A new hire started on a Monday; someone remembered to show them sterilization, or didn’t. Follow-up meant chasing people one by one across sites. When anyone asked who had been trained on what, the answer was rebuilt from memory.

Then the ODQ and OHDQ published new guidelines on infection prevention and medical-device reprocessing, in force 1 October 2026. Every clinician in every clinic had to be trained on the group’s updated protocols, and the group wanted to be able to show it — by name, by date.

The new guidelines: trained, and provable

The group’s sterilization and reprocessing training was rebuilt as one path assigned to every clinical rôle in all seven clinics. Each completion is a dated record against a named person.

Active staff trained on the 2026 sterilization protocols

82 / 95

  • 82 completions across 7 clinics, every one dated before 1 October 2026.
  • Median 13 days between a person being invited and completing the training, with the reminders doing the chasing — 78 of 82 within 30 days; about 2 hours from opening it to finishing it.
  • The 13 active staff not yet done are on the reminder loop — nobody has to remember them.
  • If someone asks who was trained on the new protocols, the answer is a list, not a reconstruction: per person, per clinic, with dates.

What that is worth

Three effects the owner can measure. The time and money lines are estimates built from the group’s own counts, with the assumptions printed.

Proof exists

82

dated training records

Every completion is a named, dated fact. Producing the list for one clinic or all seven takes a click, not a week of emails.

Chasing time gone

≈ 14 h

of manual reminders avoided since July

275 texts and emails went out automatically since July. 40 of the 82 completions happened within three days of one of them.

Estimate: 3 minutes per reminder if a coordinator had written, sent and logged it by hand.

What that time costs

≈ $500

of coordinator time since July

Time a clinic coordinator gets back for the floor, plus the training itself: no per-seat fees, so a new hire costs nothing extra to train.

Estimate: 14 hours × $35/hour loaded cost of a clinic coordinator in Québec. The group’s actual costs are not disclosed.

What was put in place

The same loop the site describes, set up with the group in working sessions:

  1. 1

    Rôles, then paths

Hygienists, dental assistants, dentists and support staff each got a path: welcome, sterilization and reprocessing, their protocols, CPR where it applies. A person’s rôle decides their training — nobody assigns by hand.

  2. 2

    Their own protocols, as training

The group’s updated sterilization procedures became short trainings with the group’s own videos, filmed in its own sterilization rooms. Staff train on what they actually do, not on generic content.

  3. 3

    Texts until it’s done

Each person receives a text that opens their training page — no app, no password. Reminders continue until the training is complete and stop the moment it is.

  4. 4

One view for the manager, one email for the owner

Each clinic’s manager sees who is not done. The owner gets the picture across all seven clinics without opening anything.

What’s next for the group

New hires will arrive directly from the clinics’ practice-management software, so the path assigns itself the day someone is added there. Certification renewals such as CPR assign themselves when due. The dated record keeps building on its own.
